Who we are
The controller of personal information collected through admiralroofingservices.co.uk is Admiral Roofing Specialists Limited, company number 11701881, trading as Admiral Roofing Specialists. The registered office is 46 St Marys Close, Hessle, East Yorkshire, HU13 0HJ. The company was incorporated on 28 November 2018. The firm has traded from that address since 1992.
Kerry Southwell, director, is the contact for the controller. Email info@admiralroofingservices.co.uk or call 01482 627895. There is no separate data-protection postal address. Write to the registered office and mark the letter “FAO Kerry Southwell”. We have not appointed a statutory data-protection officer.
This notice is given for the UK General Data Protection Regulation and the Data Protection Act 2018. How to use your rights is set out in the GDPR Policy. Cookies and similar technologies are covered in the Cookie Policy.
What this notice covers
This notice covers personal information you give us through this website, and the limited technical information the site creates when you use it. It covers the quote form, telephone numbers and email addresses published on the site, and the map on the contact page if you choose to load it.
It does not cover a roofing contract once that contract exists, except to say that details you have already given us may then be used to do the work, to deal with a query about it, and to meet a legal duty such as tax record-keeping. A quote is not itself a contract. The Terms of Service explain when a contract is made.
If you follow a link to another service, including OpenStreetMap, Google, Facebook, Companies House, the NFRC, TrustMark or the Information Commissioner’s Office, that service’s own notice applies. We do not control those sites.
What we collect
If you send the quote form, we receive:
- your name;
- your telephone number;
- your email address;
- the service you choose;
- your postcode;
- any message you write, up to 2,000 characters;
- which page of this site the form was sent from, so we know what you were looking at.
You must give your name, telephone number, email address, postcode and a service before the form will send. The message is optional. If you do not give the required details, we cannot reply through the form. You can still call 01482 627895.
The form also carries a security code that shows it was sent from this website, and a field that people are asked to leave blank. That field is there to catch automated submissions. Do not put your details in it. If it is filled in, the message is discarded and is not emailed to us.
If the spam check on the form is switched on, starting to fill in the form loads a check operated by Cloudflare, Inc. (Turnstile). Cloudflare then receives the technical information it needs to tell a person from an automated submission, which can include your IP address and information about your browser. We receive only a pass or fail result. We do not receive a copy of your browsing history from Cloudflare.
When a page is requested, the company that hosts this website may record the IP address, the date and time, the address of the page, and the browser type, in the ordinary server log. We use that log to run and protect the site. We do not use it to build a marketing profile.
The contact page loads an OpenStreetMap frame so you can see where the yard is. Your browser requests the map from the OpenStreetMap Foundation. That request includes the technical data needed to deliver the map, such as your IP address. The address is also written on the page, and there is a link to Google Maps.
What we do not collect
This website does not ask for payment card numbers, bank details, dates of birth, National Insurance numbers, or copies of identity documents. Do not send those in the message box.
We do not use analytics, advertising tags, or social-media pixels. We do not set our own cookies. See the Cookie Policy.
We do not ask for information about health, religion, trade-union membership, or any other special category of personal data. If you choose to mention something of that kind, for example to explain access to the house, we use it only for that purpose and we do not treat the form as a place to collect it. Please keep such detail to what we need for the visit.
Enquiry details are emailed to us. They are not stored as a copy in a database on this website. If the email does not leave the server, nothing is saved on the website and the thank-you page asks you to call.
Why we use it
We use the details from the quote form for these purposes:
- to reply to you and to arrange a look at the roof, because you asked us to take steps towards a contract;
- to prepare a quote, and to do the work if you later ask us to;
- to keep a record of what you asked and what we replied, where we need that record to deal with a later query or a legal claim;
- to stop the form being abused, including by automated submissions;
- to meet a legal duty, such as keeping tax records if an enquiry becomes paid work.
The lawful bases under Article 6 of the UK GDPR are:
- steps taken at your request before a contract, and performance of a contract if one is later made;
- our legitimate interests in answering a genuine enquiry, keeping a proper record of it, and protecting the website from misuse. Those interests are limited to the information you chose to send. They are not used to sell your details or to advertise to you. You can object, as explained in the GDPR Policy. We will stop unless we have a compelling reason to continue, such as a legal claim about the work;
- a legal obligation, where the law itself requires us to keep a record.
We do not make a decision about you by automated means that has a legal effect, or a similarly significant effect. The spam check only decides whether the form can be sent.
Who receives it
Enquiries are emailed to info@admiralroofingservices.co.uk and are read by the people at the firm who need them to reply and to do the work. We do not sell personal information. We do not pass it to a marketing list, a lead broker, or an advertising network.
The following may process information on our behalf, and only for the reason given:
- the company that hosts this website, so the pages can be served, the enquiry email can be sent, and the server log can be kept;
- the provider of the inbox at info@admiralroofingservices.co.uk, so we can read the enquiry;
- Cloudflare, Inc., only if the spam check is switched on, and only to say whether the submission looks genuine;
- the OpenStreetMap Foundation, when the contact page loads the map.
We may also disclose information if the law requires it, or if we need to do so to establish, exercise or defend a legal claim. That includes a disclosure to an insurer, a professional body, or a court if a dispute about the work requires it. We do not publish insurance details on this website, and this sentence does not mean an insurer receives every enquiry.
Transfers outside the UK
We do not send enquiry details to an overseas marketing company. The enquiry email is addressed to us in the United Kingdom.
Technical data may be processed outside the United Kingdom where a provider in the list above operates outside the UK. Cloudflare is established in the United States. Where personal information leaves the United Kingdom, we rely on a safeguard required by Chapter V of the UK GDPR. That is an adequacy regulation, where one covers the recipient, or the International Data Transfer Agreement, or the Addendum to the European Commission’s standard contractual clauses, as it applies to that recipient.
How long we keep it
We do not keep a copy of the enquiry on the website after the email is sent. The email, and any later papers about a quote or a job, are kept only for as long as we need them.
The period depends on the purpose:
- an enquiry that does not become work is kept while we reply and for a short period afterwards in case you come back to the same roof, and is then deleted or destroyed;
- papers about work we did are kept while we may need them to deal with a query, a guarantee in the quote, or a claim;
- records the tax law requires us to keep are kept for the period that law sets. For most business records that is at least six years.
Server logs are kept by the host for the period it uses to run and protect the server. We do not use those logs for marketing.
Keeping it secure
The public site is served over HTTPS. Pages do not load third-party advertising or analytics scripts. The quote form does not ask for a card number. Messages are checked to confirm they were sent from this website. If an enquiry email does not send, nothing is stored on the website.
No website can promise that a transmission is immune from misuse. Do not send passwords, bank details or copies of identity documents through the form. If you are unsure a message is from us, call 01482 627895. We will not ask you to pay by sending a card number in an email.
If you find a weakness in this website, email our web designer, Shaun Allen Web Design, at info@shaunallen.co.uk with enough detail for us to understand it. Please give us a reasonable time to fix it before you publish the detail. Do not access another person’s enquiry, change the site, or disrupt it while you look. A short contact file for researchers is published at /.well-known/security.txt. We do not run a paid bug-bounty programme. We will not take legal action against a person who reports a problem in good faith and stays within this paragraph.
Children
This website is for householders and other people arranging roofing work. It is not directed at children. We do not knowingly collect personal information from a child. If we learn that an enquiry came from a child, we will delete it unless a parent or guardian with parental responsibility asks us to keep it so that we can reply about the property.
Marketing
We do not add you to a mailing list because you sent the form or called the number on the site. We do not send promotional email or text messages unless you have asked us to. A reply to your enquiry is not marketing.
The Privacy and Electronic Communications Regulations 2003 restrict unsolicited electronic marketing. We do not rely on the soft opt-in. You will not have to opt out of a list you did not join.
Your rights
Under the UK GDPR you may ask us for a copy of your personal information, for a correction, for deletion, for restriction, and, where the conditions are met, for a portable copy. You may object to processing that uses legitimate interests. You may complain to the Information Commissioner’s Office.
These rights are not absolute. The GDPR Policy explains each right, how to ask, the one-month time limit, and when a request can be refused or extended. Write to Kerry Southwell at info@admiralroofingservices.co.uk or call 01482 627895. We do not charge a fee unless a request is manifestly unfounded or excessive.
Complaints
Please tell us first, at the email address or telephone number above, and give us a chance to put it right. You may complain to the Information Commissioner’s Office at any time. The ICO’s website is ico.org.uk/make-a-complaint and the helpline is 0303 123 1113. The ICO’s postal address is Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
This page does not quote an ICO registration number. Enquiries about how we handle personal information should come to us at the address above.
Changes
We will change this notice if the way we use personal information changes, or if the law changes. The date at the top of the page will change with it. The version you should read is the one published on this page on the day you use the site.
